Replacing a critical Access database or Excel file: where to start
Does your business run on an Excel file or Access database only one person understands? Here are the signs it is time to move to a web application, and how to do it safely.
In many SMEs and organizations, an Excel file or an Access database has slowly become the heart of operations: client tracking, schedules, inventory, billing, records. It works… until the day it doesn't.
Signs it is time to change
- Only one person knows how it works, and their absence brings everything to a halt.
- Several versions of the same file circulate by email, and nobody knows which one is right.
- Data is entered twice, in the file and then in another system.
- The file slows down or gets corrupted when several people open it at once.
- You don't know who changed what, or who can see sensitive information.
That last point is not just about convenience: under Québec's Law 25, an organization must be able to protect and control access to the personal information it holds.
What a web application brings
- A single source of truth, available in a browser, at the office or remotely.
- Role-based access: everyone sees and edits only what concerns them.
- A change history and automatic backups.
- Forms that validate data as it is entered, instead of cells where anything goes.
- Reports and dashboards generated in one click.
Where to start
- Map real usage: who uses the file, for which tasks, how often. Forgotten uses often surface.
- Identify what hurts: double entry, errors, lost time. That is what justifies the investment.
- Start small: a first version that replaces the core of the file, delivered in a few weeks, then additions in stages.
- Migrate data cleanly: clean-up, de-duplication and validation before the import, not after.
- Train users and keep the file read-only during the transition.
How much does it cost?
It depends on the scope. A focused internal tool typically starts around $15,000, and a more complete platform is planned in phases. For eligible SMEs, Investissement Québec's ESSOR program can fund part of a digital project, subject to its current criteria.
The safest first step is an assessment: in a few days, you get a roadmap and a costed budget, with no commitment beyond that.
